Last month, Vanni Hope was delighted to bring together our staff, partners, supporters, and community leaders for our annual four-day conference, held from 20 to 23 November 2025 in Trincomalee. While this important gathering took place prior to Cyclone Ditwah, the scale and urgency of our emergency response in recent weeks have meant we are only now able to share reflections from this meaningful time together.
The conference provided a rare opportunity for our geographically dispersed teams to come together in one place, reflect on the year that was, and learn from one another as we continue strengthening our work across Sri Lanka. With staff travelling from all regions of the country, the gathering reinforced the shared purpose and values that underpin everything we do.
Strengthening Partnerships and Learning Together
A key focus of the conference was deepening collaboration with both existing and new partners. We were honoured to hear directly from organisations such as World Vision Lanka, Berendina and ChildFund Sri Lanka, who shared insights into safeguarding, partnership models, and opportunities for future collaboration. These sessions reinforced the importance of strong, values-aligned partnerships in delivering sustainable and accountable support to communities.
The conference also included briefings and discussions with technical partners and government stakeholders, highlighting collaborative work across health, education, social services, inland fisheries, and disability and palliative care initiatives. These exchanges allowed our teams to better understand the broader ecosystem in which we operate and how collective action can lead to greater impact.
Reviewing Our Work Across the Island
Dedicated sessions were held to review projects and progress across all regions, including the Northern, Eastern, Central, and Upcountry areas. Field teams shared updates, challenges, and lessons learned from the year, enabling open, constructive discussion about what is working well and where improvements are needed.
These internal reviews were complemented by staff-sharing sessions, during which team members reflected on their experiences working directly with communities. These conversations highlighted the realities faced on the ground and reinforced the importance of adaptability, empathy, and accountability in our work.
Planning Ahead and Building Capacity
Looking forward, the conference provided space for strategic discussions focused on the 2025–2026 period. Sessions led by Vanni Hope’s leadership team explored organisational structure, staff development pathways, and long-term planning to support the charity’s continued growth and effectiveness.
Capacity-building sessions, including discussions on project management systems and internal processes, were designed to strengthen coordination and transparency across the organisation. These sessions reflected our ongoing commitment to continuous improvement and responsible stewardship of resources.
Connection Beyond the Sessions
Alongside formal sessions, the conference also prioritised team bonding and wellbeing. Shared meals, site visits, cultural moments, and a staff gathering at the conclusion of the conference allowed space for connection, reflection, and celebration. These moments are essential in sustaining morale and strengthening relationships within a team that works year-round in challenging environments.
Looking Back as We Move Forward
This annual staff conference came at a critical moment, just weeks before Cyclone Ditwah would impact communities across the island. The discussions, relationships, and planning that took place during these four days have since played a vital role in enabling our teams to respond quickly, collaboratively, and effectively to the unfolding emergency.
We remain deeply grateful to all staff, partners, supporters, and community leaders who contributed to making this gathering such a valuable experience. As we continue responding to urgent needs across Sri Lanka, we carry forward the learning, unity, and shared commitment reinforced by this conference.
